Here's a summary of responsibilities:

This position is a combination (50/50) of accounts payable and payroll processing. This position will perform accounting and clerical tasks related to the efficient maintenance and processing of accounts payable transactions. This role will also work with the Payroll Manager to collect timekeeping information and accurately process bi-weekly payroll for over 500 employees. 

Here's how you'll have an impact:
  • Accounts Payable
    • Audit expense reports submitted via the travel management system. Ensure expenses follow USOPC policies. Assist with tracking late submissions and following up with staff when necessary.
    • Audit monthly purchase card statements to ensure the expenses and documentation match the statement transactions per the purchase card policy. Follow up on missing statements and maintain accurate records for reporting missing documents.
    • As needed, serve as backup to the Accounts Payable Specialist II and learn basic matching skills to process invoices submitted to Accounts Payable. 
    • Research files, as requested, to provide information to vendors and USOPC personnel concerning payment status and/or backup documentation.
    • Assist the AP Manager with the credit card program, ordering, closing, and managing cards, tracking cards, and monthly reconciliation.
  • Payroll
    • Collect and summarize timekeeping information, ensure completeness and accuracy, and promptly address any missing approvals.
    • Process and close bi-weekly payroll, including generating monthly and quarterly payroll reports.
    • Support the Payroll Manager in answering employees' questions about payroll topics. Manage both incoming and outgoing messages in the payroll inbox.
    • Process wire transfers and resolve bank-rejected employee payments promptly.
    • Process newly hired employees in the payroll system, setting up PTO and Time Management in Ultipro.
    • Adhere to relevant regulations and manage the processing of final pay, wires, and state and government forms for employee terminations.
    • Maintain and update payroll toolbox guidelines and procedures.
  • General Operations
    • Provide excellent customer service to internal and external customers.
    • Assist with annual audits as needed, retrieving documents or data as required.
    • Maintain knowledge of USOPC policies.
Here are the skills and experience you'll need to be effective:
  • High school diploma or equivalent
  • 2-3 years of accounts payable or general accounting experience and computerized accounting systems
  • 2-3 years of experience processing payroll with an HRMS or equivalent
  • General knowledge of accounting and payroll methods, procedures, and terms
  • Detail-oriented with accurate data entry skills
  • Ability to maintain strict confidentiality
  • Proficient in Microsoft Office and Microsoft Outlook
  • Proficient with navigation within system applications
  • Proficient with Excel, formulas, and pivot tables
  • Effective verbal and written communication skills

  • This hub-based role will work regularly from our Downtown Colorado Springs Headquarters.
Here's some more information you need to know:
  • Hiring Pay Range: $22.65 – $26.62 per hour.
  • This full-time, non-exempt position is intended to work 40 hours per week.
  • Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 5% target. The USOPC may change or eliminate this program at any time at its sole discretion.
